As a new year commences, we make hundreds of resolutions and one of them is always about being more productive. But what does productivity actually mean? People tend to confuse being productive with working day and night. If you are burning the midnight oil and ending up tired and stressed without being able to complete all your tasks, then all the efforts that you are putting in are going in vain.

Productivity means completing your tasks efficiently without overburdening yourself. It enables you to manage your time in such a way that you are left with enough time to engage in other activities after accomplishing all your tasks. As Franz Kafka said, “Productivity is being able to do things that you were never able to do before.”

Here are some tips to be productive and make full optimization of your time which is the key to success.

1. Start charting out plans

If you do not have a proper plan about what tasks you are supposed to work on in the upcoming days, then you will find yourself at the end of the day with a lot of unfinished work. So it is important that you prepare structured plans. It can be for one day, one week, or even a month, depending upon what you are comfortable in.

You might even have long-term plans written down for a month or a quarter (three months) and short-term plans for a week. Having a schedule in hand before starting the work is the first and foremost step of being productive. It will prevent you from wasting time on unnecessary things and reduce the chances of forgetting important things to do.

When you are preparing a plan, prioritize your tasks and make sure that you keep your plan or schedule as realistic as possible so that you can stick to it.

2. The importance of tracking time

Successful professionals have time and again iterated the pros of tracking time effectively. Tracking time means knowing how much time you are taking up in completing the tasks that you have in your hand.

There is a need to implement an excellent tracking system as it will give you information about several things that are relevant to boost your productivity. For example, you will get an idea about the tasks on which you are spending more time than required and then you can start working on limiting the time.

It will also make you aware of the time during the day when you are the most productive like some people are early morning birds while some are night owls. You can then work on the tasks that require utmost attention and critical thinking during this time.

3. Set realistic goals

You will find a direction and work towards it only if you have goals that you have to accomplish. If you have not set goals, you will find yourself lacking the focus, determination, and consistency to work.

Goals are like steps on a ladder that help you climb towards success. They give you the motivation to keep working. So along with setting long-term goals, set monthly, weekly and daily goals as well.

The most important thing is that the goals that you are setting should be specific, attainable, and result-oriented.

4. Do not shy away from rewarding yourself

Rewarding yourself is a great way of keeping yourself motivated and boosting your morale. So celebrate whenever you achieve a milestone.

Also keep track of everything that you achieve, even the smallest wins, and remind yourself of them whenever you feel demotivated.

5. Taking breaks is crucial

As I said in the beginning, being productive does not mean working the entire day without any breaks. It has been proven that taking breaks can help enhance your concentration.

So, I would suggest following the 90-30 rule according to which after working for 90 minutes, take a break of 30 or at least 20 minutes. If you wish to not waste your precious time, then you can read an article or listen to a podcast during your break. You can even go out for a walk in nature.

When you start working after the break, you will find yourself energized and rejuvenated.

6. Say no to distractions

Do you find yourself scrolling through social media during your peak work hours? There are a lot of distractions around us that stop us from working with our full potential, social media being one of them.

While you are working, get rid of all the things that might distract you and waste hours of your time. I would strongly suggest turning off or silencing the notifications of social media during your working hours and blocking the sites that are likely to distract you. Minimizing distractions is a vital part of being productive.

7. Multitasking is your foe

You might have heard that multitasking will help you finish multiple tasks in less time. But this is not true at all. Instead, when you multitask, you do not finish any task efficiently and there are high chances of ruining any one or all of them because you are not paying complete attention to even a single task.

Hence, commit to one task and put all your efforts into completing it with the best outcomes.

Being productive does not require a lot of effort, but it requires commitment and dedication. If you keep procrastinating your work and get distracted, you will end up being stressed about your pending jobs.

You just have to follow these simple steps to give your hundred percent to the work that you are doing and eventually achieve something big in your career, without having any burden on your shoulders.
